Email notifications and Slack

How MeshMarkup emails you when clients leave feedback, how reviewers can hear about your replies, how to turn emails off, and how to post feedback into Slack.

MeshMarkup emails everyone in your studio when a client leaves notes, replies or signs off a version. The emails are batched, so a client working through a model sends one message listing every note, not one per click. Each person turns their own emails on or off under Settings → Profile → Email notifications. On Solo and above you can also post the same feedback into a Slack channel, from Settings → Integrations.

What you get by email

When a reviewer does something on any model in your studio, everyone in the studio who has notifications on gets an email:

  • a reviewer leaves a note, or replies to one;
  • a teammate replies to a note where the client can see it;
  • a client signs off a version;
  • someone @mentions you in a note.

Nobody is emailed about their own actions, and internal notes never send email to anyone.

The subject says what happened, such as Maren: 3 new comments on pendant_lamp, Maren approved pendant_lamp or Maren mentioned you on pendant_lamp. Inside, notes are grouped by model with a short excerpt of each, and an Open button for each model that takes you straight to it.

Why the email isn't instant

MeshMarkup waits for a burst of activity to settle before sending, then sends one email covering all of it. If your client leaves six notes in two minutes, you get one email listing all six, a little after they've finished. The notes themselves appear in the app straight away, on the model and on Tasks.

Turn email notifications on or off

  1. Open Settings → Profile

    Click your name at the bottom of the sidebar. Profile is the first tab.

  2. Find Email notifications

    Tick or untick Tell me when feedback arrives. It saves as soon as you click.

The setting is per person and covers every model in the studio. Turning it off doesn't affect your teammates, and notes still arrive in the app; you just won't hear about them by mail.

Every notification email also has a Stop these emails link at the bottom. It works in one click, without signing in, and shows Done — no more emails. To turn them back on, tick Tell me when feedback arrives again in Settings → Profile.

Emails for your reviewers

Reviewers never get email unless they ask for it. When a client leaves a note, the note form has a checkbox, Email me when … replies, with a box for their address. If they tick it, they're emailed when new replies are posted on that version of the model (by you or by another reviewer), or when someone @mentions them.

Internal notes are never sent to reviewers. They can stop the emails with the Stop these emails link in any of them. See notes, replies and statuses for how internal notes work.

Post feedback into Slack

MeshMarkup posts to one Slack channel through a Slack incoming webhook. You need to be the studio's owner or an admin to connect it.

  1. Create an incoming webhook in Slack

    In Slack, go to AppsIncoming WebhooksAdd to Slack, pick the channel you want feedback in, and copy the webhook URL. It starts with https://hooks.slack.com/services/.

  2. Open Settings → Integrations

    In MeshMarkup, open Settings and the Integrations tab. Click Connect on the Slack card.

  3. Paste the URL and click Connect

    Paste the webhook URL into the first box. The second box, for the channel name, is optional and only there so your team can see where posts go. Click Connect.

  4. Look for the test message

    MeshMarkup posts a short test message (MeshMarkup is connected…) to the channel before saving, so a mistyped URL fails straight away instead of silently days later. When it works, the card shows Connected and the channel name.

If Slack refuses the URL, the card says Slack rejected that webhook with Slack's reason. The most common cause is copying only part of the URL, or a webhook that's been removed in Slack.

What gets posted

The channel gets a message when a reviewer leaves a note or replies, a client approves a version, someone replies, a new version is uploaded, or a note is resolved. Like the emails, they're batched: a reviewer working through a model for a few minutes produces one message, headed with who did it and how many updates, and an Open button for the model. Several models at once are summarised in one post.

Changing or disconnecting

To send to a different channel, click Disconnect, create a webhook for the new channel in Slack, and connect again. Disconnecting stops the posts straight away and is available on any plan, so you can switch it off after a downgrade too.

The webhook URL is stored where only MeshMarkup's server can read it. Even owners and admins only ever see its last few characters, so the settings page can't be used to copy it.

If emails don't arrive

Check your spam or junk folder and search for MeshMarkup. On a work address, ask your IT team whether mail from MeshMarkup is being quarantined. If you turned notifications off with Stop these emails at some point, turn them back on in Settings → Profile. More in sign-in and email problems.

Microsoft Teams and Discord work the same way; see Integrations. If you want feedback to reach your own tools instead of a person, Solo and above include the API and signed webhooks. See the API and webhooks.
